The information we collect

  • Contact details you give us: name, email address, phone number and postal address.
  • Property details: the address and details of a property you want valued, sold, let or managed, and your plans and timescales.
  • Enquiry details: messages you send through the website forms, by email, phone, WhatsApp or social media, and viewing requests.
  • Information needed by law when you become a client, buyer, landlord or tenant: proof of identity and address, and (where required) proof of funds and source of funds, for anti-money laundering checks; and right-to-rent and referencing information for tenancies.
  • Financial details needed to handle rent, deposits and payments, if you use our lettings or management services.
  • Website data: the cookies described under “Cookies” below.

How we use your information, and the legal basis

  • To reply to your enquiry and arrange valuations and viewings (legitimate interests, or steps before entering a contract).
  • To provide our services to you as a seller, buyer, landlord or tenant (performance of a contract).
  • To meet our legal obligations, including anti-money laundering regulations, right-to-rent checks, tenancy deposit rules and record keeping (legal obligation).
  • To keep you updated about suitable properties or market news, only where you have agreed to this. You can opt out at any time (consent).
  • To run and improve this website (legitimate interests).

Who we share it with

We never sell your information. We only share it where needed to provide our services or where the law requires it, for example with:

  • buyers, sellers, landlords or tenants involved in the same transaction (only the details they need);
  • solicitors and conveyancers, mortgage brokers and surveyors you have chosen or agreed to;
  • identity verification, anti-money laundering and tenant referencing providers;
  • tenancy deposit protection schemes, inventory clerks, contractors and tradespeople carrying out work at a property;
  • property portals, when marketing a property on your instructions;
  • our IT, website, hosting and email providers, who process data on our behalf under contract;
  • our redress scheme, client money protection scheme, regulators, HMRC, the police or other authorities, where required by law.

How long we keep it

We keep your information only for as long as needed. Enquiries that don’t go further are deleted within 2 years. Anti-money laundering records are kept for 5 years after the end of the business relationship, as the law requires. Tenancy, transaction and accounting records are kept for up to 7 years for legal, tax and insurance reasons.

How we keep it safe

Your information is stored on secure, password-protected systems and is only accessed by people who need it. Where a provider stores data outside the UK, we make sure appropriate safeguards are in place.

Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how it is used, to have it transferred to another organisation, and to withdraw consent at any time. To use any of these rights, email arfan@arfanriaz.com. We will reply within one month.

  • Essential: these remember your cookie choice (set by the cookie banner) and keep the website and its forms working securely.
  • Recently viewed properties: when you look at a property, a cookie called “propertyhive_recently_viewed” remembers which homes you have viewed, so the site can show them to you again. It stays on your device and is not shared with anyone.

We don’t use analytics, advertising or tracking cookies, and no third-party services are loaded on this website. If this changes, we will ask for your consent through the cookie banner first and update this page. You can change your cookie choice at any time, and you can delete cookies through your browser settings. Links to Google Maps, Instagram, Facebook, YouTube, LinkedIn and WhatsApp take you to those sites, which have their own cookie and privacy policies.
